A POS system is no longer just a cash register. In the omnichannel era, POS is the hub that connects online and offline sales, synchronizing inventory, customer data, and marketing campaigns. Shopify POS introduces a unified operational perspective—one product catalog, a single source of truth for inventory, and a consistent customer history.

What is Shopify POS?

Shopify POS is an application, device ecosystem, and integration that enables point-of-sale transactions while connecting to the Shopify platform. It consists of a POS app (iOS/Android), payment terminals, receipt printers, and accessories (cash drawers, barcode readers).

Shopify POS vs. Traditional POS Systems

Traditional POS systems are often siloed—separate databases, separate reports. Shopify POS is natively integrated with e-commerce: the same product page, the same prices, discounts, and promotion logic. This eliminates duplication of work and inventory discrepancies.

How does Shopify POS work?

Shopify POS is a brick-and-mortar sales system that connects your physical store with your online store. It updates all transactions and inventory in real time, simplifying product management. Merchants can accept payments by card, cash, BLIK, or digital wallets, as well as create customer profiles and offer discounts and loyalty programs. The system allows online orders to be picked up in-store, printed, or sent via email. Shopify POS generates sales reports and analyzes top-selling products, helping you make business decisions. Everything works on a tablet or smartphone, and optional hardware, such as a barcode reader or payment terminal, further streamlines workflows. This allows merchants to run a cohesive business both online and offline, using one simple system.

Mobile application and dedicated hardware

The POS app works on tablets and smartphones and works with dedicated payment terminals (e.g., Shopify Tap & Chip Reader), printers, and readers. Devices communicate with the Shopify cloud, ensuring data synchronization.

Integration with the store administration (Admin) and warehouse

All transactions are recorded in the Shopify admin panel. Stock changes occur in real time or after synchronization, enabling precise management of fulfillment and reordering.

Customer records, purchase history, notes, and reminders are available at checkout. Integration with loyalty programs allows you to earn points and apply discounts instantly.

  1. Bills, receipts and returns

Receipt and invoice generation, as well as returns processing, are all handled within the app. The process is consistent for both in-store sales and online orders.

Setting up and launching a brick-and-mortar store with Shopify POS

POS functionality depends on your Shopify plan—some advanced features require the Shopify Plus plan or POS Pro add-ons. Registering devices in your dashboard is a simple process, but it does require granting permissions to your staff.

In practice: configure the receipt printer, pair the terminal with the app, test printouts and network communication. Backup procedures and offline testing are important.

Who is Shopify POS for?

Shopify POS is designed for Merchants who sell or plan to sell in-store and want to integrate it with their online store. It's especially useful for:

  1. Small and medium-sized retail stores – who want to easily manage both offline and online sales from one panel.
  2. Online stores with a collection point – enables online ordering in click & collect mode.
  3. Vendors at trade shows, events, or pop-ups – the mobile POS application allows you to accept payments anywhere.
  4. Companies offering various payment methods – the system supports cash, cards, BLIK and digital wallets such as Apple Pay or Google Pay.
  5. Entrepreneurs who want to improve reporting and inventory management – Shopify POS automatically syncs inventory and generates sales reports.

Shopify Point of Sale Costs

Shopify POS Lite is available at no additional cost for all Shopify subscription plans. It enables brick-and-mortar sales with basic features like accepting cash, credit, and debit cards, handling pickup orders, and basic inventory management. However, it doesn't include advanced features like advanced reporting or workforce management.

Shopify POS Pro – Paid Subscription

To access advanced Shopify POS features, such as advanced reporting, staff management, automatic discounts, and Shopify Payments integration, you'll need a Shopify POS Pro subscription. This subscription is paid and billed separately for each activated location. You can choose between monthly or annual billing cycles. With the Shopify Plus plan, the first 20 POS Pro locations are included in the subscription price, with additional fees for additional locations.

Transaction fees

Using Shopify Payments, Shopify Poland charges a fee for processing credit and debit card payments. The fee depends on the subscription plan you choose and the type of transaction (online or offline). Fees for offline transactions (in-store) are typically lower than for online transactions.

Shopify Tax – Tax Calculation Service

If your business is located in the European Union, you can use Shopify Tax, which automatically calculates VAT rates based on your store's location. This service is free until you reach €100,000 in annual global sales. After that, a fee of 0.25% of the order value is charged, with a cap of €0.99 per order. The total annual fee cannot exceed €5,000 per region.

Usage scenarios in different business models

  • Traditional retail store

In brick-and-mortar stores, POS manages cash registers, inventory, and returns while simultaneously providing sales data to BI.

  • Pop-up shops and sales events

Thanks to its offline mode and mobility, POS is ideal for seasonal sales and events – quick setup, synchronization when back online.

  • Omnichannel: click & collect and fulfillment

Click & collect, buy online pick up in store (BOPIS) and ship from store are supported natively – local warehouses are visible in the dashboard and reservations are processed instantly.

Security, Compliance and Fiscal Reporting

In terms of security, it meets the highest standards – it complies with PCI DSS Level 1 and offers data encryption, access control, and compliance reporting. However, it's important to remember that merchants are responsible for the security of their own devices, Wi-Fi networks, and store procedures. Shopify also ensures compliance with data protection regulations (GDPR), but the store owner decides how customer data is collected and processed.

In the context of Polish regulations, fiscal issues are important. Shopify POS does not offer native support for Polish fiscalization, meaning it cannot directly print fiscal receipts or submit reports to the tax office. Merchants in Poland must therefore implement additional solutions, such as integration with an external fiscal system or using a certified fiscal printer.

The Shopify POS system allows you to generate sales reports, analyze results, and synchronize data between your brick-and-mortar and online store. This is a significant advantage for businesses operating an omnichannel model. However, to ensure full compliance with Polish law, it's worth consulting a tax advisor to ensure the fiscalization process is being carried out correctly. Regular software updates, employee training, and attention to data security will allow you to fully utilize the potential of Shopify POS in Poland.

Shopify POS Drawbacks, Limitations, and When to Consider Alternatives

For very complex B2B processes or specific fiscal requirements, Shopify POS may require add-ons or dedicated integrations.

It is worth considering a hybrid: Shopify as a sales front-end + a dedicated ERP/WMS system for fulfillment and fiscal reporting in specific jurisdictions.

The Future of Shopify POS – Trends and Innovations

A focus on contactless payments, IoT integration (smart shelves), augmented reality in customer service, and deeper predictive analytics are the directions in which POS is evolving. Systems will become increasingly contextual and proactive—advising employees at the checkout, suggesting promotions, and optimizing fulfillment in real time.
